These upgrades are designed to make compliance management faster, easier, and more intuitive, simplifying compliance status visibility across portfolios, improving document management, streamlining communication, and helping you resolve access issues efficiently.
Service Reports and Quotes Redesign
What was the challenge?
Simplifying the findings arising from safety checks to focus attention on the critical issues the RTA called out and that the CAV Taskforce was focused on (eg Urgent Repairs).
Our solution:
We reengineered our findings resulting in a redesign of our Service Reports & Quotes to make them more easily understood by property managers, rental providers and renters. Here's what’s changed:
- Clearer compliance status
Our updated reports distinguish between urgent repairs (as defined under the RTA) and non-urgent findings and in the absence of any outstanding urgent repairs, a property will be clearly marked as “Compliant”. - Simplified categories
We’ve re-categorized findings into three easy-to-understand groups:- Must do: Urgent Repairs that require immediate action
- Could do: Other findings
- Should do: Safety-related findings
These changes are going to materially simplify property manager's conversations with owners. For those who wish to do the minimum, the need to take care of Urgent Repairs immediately under the RTA is clearcut. For those who take a longer term view, it’s clear which findings fall into Safety-related or Other Findings.

Enhanced Document Management: Access Everything in One Place
What was the challenge?
Managing compliance-related documents across multiple properties can become overwhelming, especially when you’re dealing with both Detector Inspector-issued reports and third-party compliance paperwork. Property managers asked for a unified place to store all documents related to a property’s compliance status.
Our solution:
We’ve completely revamped the Documents tab on the Compliance Portal to provide a seamless experience for viewing and managing all property-related documents. Here’s what’s new:
- One central location for all compliance documents: You can now view service reports, invoices, quotes, and compliance certificates in one easy-to-access location.
- Third-party document uploads: In response to user requests, you can now upload and tag third-party documents like inspection reports, rectification invoices, or certificates from other service providers. This makes it easier to manage everything in one place, ensuring you’re always up to date with the latest information.
- Improved file management: Upload multiple files at once, drag-and-drop documents, and tag them for better organisation.
By consolidating all compliance-related documentation into a single, user-friendly tab, property managers can ensure they have all the information they need at their fingertips—minimising back-and-forth communication and the need for manual tracking.

Simplified Communication with the new DIgest
What was the challenge?
Property managers told us they were being overwhelmed by too many emails—sometimes receiving multiple emails daily covering different issues, including access problems, overdue updates, and other important tasks.
Our solution:
Introducing the DIgest, a streamlined communication feature that consolidates multiple updates into a single, well-organised email. Here’s how it works:
- Fewer emails, more clarity: Instead of sending separate notifications for every update or issue, the DIgest combines everything into one comprehensive report.
- Flexible timing options: You can choose to receive the DIgest weekly, daily, or monthly, depending on how closely you want to monitor your portfolio.
- Focused action items: Each DIgest includes a summary of action items that require your attention, helping you stay on top of compliance tasks without being inundated by information.
The DIgest aims to reduce email fatigue while ensuring that nothing important slips through the cracks. It’s a great way to stay updated and maintain compliance across your entire portfolio with minimal effort.

Better Tools to Overcome Access Issues
What was the challenge?
Access issues can be a major pain point, especially when tenants are difficult to reach or scheduling conflicts arise. Property managers expressed the need for more effective tools within the Compliance Portal to address and resolve these access problems.
Our solution:
We’ve added a suite of new features to make resolving access issues faster and easier. Here’s what’s changed:
- Access Issues Dashboard: Your portal dashboard will continue to highlight urgent access issues, ensuring that they remain front and center until resolved.
- Dedicated Access Issues Page: We’ve created a page that consolidates all access problems across your portfolio. This page gives you a clear view of which properties are affected and what actions are needed.
- Enhanced tools for resolution:
- Book appointments on behalf of tenants: If tenants aren’t responsive or prefer agency intervention, you can now book appointments for them directly through the portal.
- Trigger entry notices: You can now automatically trigger one-off entry notices when an access issue arises, ensuring that compliance work can proceed without delays.
- Send tenant emails directly from the portal: Sometimes, tenants need a nudge, and the new email function allows you to send branded emails directly from the Compliance Portal. These communications are logged for auditing purposes, so you can track when and what was sent.
These updates will help you resolve access issues faster, reduce the likelihood of delays, and improve tenant communication—all from within the Compliance Portal.
